Attendance, Collecting, and Contact Guidelines
Arrival Time
All students must arrive promptly, ready to start at 9 am.
Parental Supervision
Parents must stay with their child until they are collected by our team.
Late or Absent Notifications
If you are going to be late or absent, please call the reception by 8 am on the day.
Contactability
A parent/guardian must be contactable at all times that their child is at the school.
Updating Contact Information
It is the parent/guardian’s responsibility to inform us of any change of phone numbers and contact details.
Timely Collection
All students must be collected on time after a session. Creative Industries Academy is unable to supervise students after a session, and consistent late collection will result in additional charges.
Students must wear suitable footwear and clothing at all times.
In the interests of safety, please ensure that all children with long hair arrive for their sessions with their hair tied back.
Breaks, Snacks, and Water
Snack Requirements
Your child must be provided with a light, healthy snack for the break time. The snack should not be too heavy and should not require hot water.
Water Requirements
Your child should bring plenty of water to last the session, carried in a sealed container.
Prohibited Items
Glass bottles are not permitted on the premises.
No student will be allowed to have access to hot water.
Hydration Encouragement
Water can be drunk at any time and is encouraged.
Photography and Filming on Site
As part of our training and showcases, it will be necessary to take photos and videos of the students occasionally. These will be used to record the student’s progression as well as keepsakes for our families. They may be used for advertising purposes at our discretion. By taking part in Creative Industries Academy activities, it is understood that parents give their permission for this.
If you would prefer your child not to be photographed or filmed, you must inform us in writing.
Safeguarding
If there is a safeguarding issue that means photos of your child should not be taken, please email us immediately. We will fully respect this request, although it may mean that your child will have to be positioned accordingly during performances to avoid them being captured in any photos or recordings.
Fees
Payment of Fees
All fees must be paid by the set deadline.
Deposit Policy
The deposit is non-refundable under any circumstances unless a place is not given.
Missed Sessions
No refunds or make-up sessions are available for missed sessions during a Holiday Course under any circumstances.
Changes, Cancellations, and Venue Changes
Non-Attendance
In the event that a student is unable to attend a Creative Industries Academy session due to sickness or a decision by the parent or student not to attend, Creative Industries Academy regrets that it is unable to refund any payment.
School Closure
Should it be necessary to close the school on account of epidemic, national crisis, Act of God, or any situation over which Creative Industries Academy has no control, no fee refunds or compensation will be given.
Holiday Course Cancellation by Parent
If you wish to cancel a booked Holiday Course:
1. If you inform us more than three weeks before the commencement of the Holiday Course, we will reimburse you 75% of the amount paid.
2. If you inform us between one and three weeks before the commencement of the Holiday Course, we will reimburse you 50% of the amount paid.
3. If you inform us less than one week before the commencement of the Holiday Course, you will forfeit the entire amount paid for the Holiday Course.
Changing Holiday Course Booking
If you have booked a Holiday Course and wish to change your booking to another course in the same holiday period, subject to availability, you may do so without financial penalty.
Cancellation by Creative Industries Academy
Session Cancellations
We reserve the right to cancel any session, workshop, or Holiday Course at any time up to and including the date the activity starts.
Should this occur, we will endeavour to give you at least seven days' notice and will attempt to offer you a viable alternative or provide a refund of any fee paid.
In the event of a last-minute session cancellation, you will be notified by email, text message, or a call to your mobile phone. Parents must ensure that they provide us with up-to-date contact details.
Time and Venue Changes
It is occasionally necessary to change the time and/or venue of a Creative Industries Academy activity session. This will only be done if absolutely necessary, and Creative Industries Academy will do its best to keep class times and locations as similar as possible, but unfortunately, this cannot always be guaranteed.
Health & Injuries
Child's Health
We accept children on the assumption that they are in good health. It is your responsibility to alert us to any medical complaints or history suffered by your child.
Responsibility for Information
We do not accept responsibility for loss or damage arising from errors or omissions on the Registration Form, whether completed by you or by another person in charge of your child at the time of completion.
Liability
We do not accept liability for death or personal injury to any child attending our sessions or any activity related to Creative Industries Academy (CIA), whether organised by CIA or otherwise, except to the extent that such death or injury is caused by the negligence or default of any member of our staff or any other default on our part.
Risk and Medical Conditions
Students participate at their own risk and are obliged to inform Creative Industries Academy (CIA) and its staff of any existing injuries or medical conditions. All application forms must state any known medical conditions, and any changes to such information must be notified to Creative Industries Academy immediately in writing.
If you are unsure whether a student should participate in any activity, please consult the student's GP before enrolling the student in a Creative Industries Academy (CIA) activity.
Medication and Attire
Any medication left on the school premises must be clearly labelled, and the student should, unless Creative Industries Academy (CIA) has agreed in writing otherwise, be able to administer it themselves.
Emergency Contact
If a student is unwell or has an accident requiring emergency treatment, the parent will be contacted via the emergency contact details provided below or on the enrolment form. This number must always be contactable while the student is attending the Creative Industries Academy (CIA) activity.
Parents are solely responsible for ensuring that the emergency contact details on Creative Industries Academy's records are up to date.
Personal Information
Data Processing
The personal data (as defined in the Data Protection Act 1998) of a student and/or parent submitted using the application form will be processed by Creative Industries Academy (CIA) for the purposes of administration and research in relation to the provision of teaching services.
Sharing of Information
Creative Industries Academy (CIA) will share this information with external agencies (for example, organisations with responsibility for children's safeguarding) only when required or permitted to do so by law.
Marketing Communications
Creative Industries Academy (CIA) will not disclose personal data to third parties for marketing purposes, although CIA may use personal data for their own marketing and business development purposes, including for the purposes of advertising and promoting classes, workshops, productions, and/or services by Creative Industries Academy.
Parents who do not wish to receive marketing communications from Creative Industries Academy should inform us in writing.
Ownership of Rights
Creative Industries Academy (CIA) owns all the rights, title, and interest in and to its websites, including software, text, and media, and its trademarks, logos, and brand elements. Any intellectual property created during any Course, Workshop, or Holiday Workshop/Camp is owned by Creative Industries Academy.
Data Protection Act
Under the Data Protection Act 1998, Creative Industries Academy (CIA) is authorised to process and store data relating to living individuals.
Monitoring and Recording
Creative Industries Academy (CIA) may monitor and record communications with you (including phone conversations and emails) for quality assurance, legal, compliance, and training purposes.
Photographs and Recordings
From time to time, photographs, film, video, or audio recordings may be made during Creative Industries Academy (CIA) activities for publicity, promotional, or broadcast purposes. Please inform us before any such event if you do not wish you or your child to appear or be identified in any such material.

Personal Property
Belongings
Students are obliged to take care of their own belongings. Creative Industries Academy (CIA) accepts no liability for lost or damaged belongings.
All lost items will be given to the reception staff at Fairstead House School. Should your child lose an item, please check with them. Creative Industries Academy (CIA) cannot take responsibility for any articles lost or stolen.
We do not accept responsibility for any loss of or damage to personal property belonging to you or your child, irrespective of whether such possessions might be used by you or the child for the purposes of any Creative Industries Academy (CIA) activity, except to the extent that such loss or damage is caused by the negligence or default of any member of our staff or any other default on our part.
Other Losses
Circumstances Beyond Control
We do not accept responsibility for any loss or expense due to circumstances beyond our control, including, but not limited to, delays in public transport, weather, quarantine, sickness, bereavement, strikes or other industrial action, terrorism, fire, and riot.
Limitation of Liability
Without prejudice to the other terms of this agreement, in no event (including our own negligence) will we be liable for any:
1. Economic losses (including, without limitation, loss of revenues, profits, contracts, business, or anticipated savings).
2. Loss of goodwill or reputation.
3. Any other special, indirect, or consequential losses.
4. Loss to third parties.
Limitations
You acknowledge that the maximum aggregate liability of Creative Industries Academy (CIA) to a student or parent under these Terms & Conditions shall not exceed the Creative Industries Academy (CIA) activity fee to which a claim relates.
The liability of Creative Industries Academy (CIA) and its staff is restricted to class time only and then only to gross negligence.
No provision of these Terms and Conditions shall operate or be construed to operate so as to exclude or restrict our liability under the provisions of any UK legislation in force from time to time which are not capable of being excluded or restricted.
Third Parties
A person who is not party to these Terms and Conditions or any agreement or document incorporating these Terms and Conditions shall have no right under the Contracts (Rights of Third Parties) Act 1999 to enforce any of its terms.
General
Entire Agreement
These Terms and Conditions and any documents referred to herein constitute the entire agreement between you and us in connection with your booking, purchase, or use of our products and services, superseding any prior agreements between you and us.
No Reliance
You agree that you have entered into these Terms and Conditions without reliance on any representation, warranty, or undertaking by us which is not set out expressly in these Terms and Conditions.
Force Majeure
We shall not be under any liability for any failure to perform any of our obligations under these Terms and Conditions if we are prevented from or delayed in doing so due to any circumstances beyond our reasonable control, provided that if the event in question continues for a continuous period in excess of 60 days, you shall be entitled to give notice in writing to us to terminate the contract.
In the event that one or more of the provisions of the Agreement are found to be unlawful or otherwise unenforceable, those provisions shall be deemed severed from the remainder of the Agreement.
The Agreement shall be governed by, and construed in accordance with, the laws of England and Wales, and any dispute, proceedings, or claim shall fall within the jurisdiction of the English courts.
Late Payments
If any payments due under these Terms and Conditions are not made by their respective due date, interest shall accrue on the full amount outstanding at a rate of 8% above the base lending rate of the Bank of England from time to time, from the due date until the date of actual payment.

Creative Industries Academy Activity
Creative Industries Academy (CIA) may, at its discretion, refuse a student entry to a Creative Industries Academy Activity or session of a Creative Industries Academy Activity if it is felt that the student's behaviour is unacceptable.
Creative Industries Academy (CIA) reserves the right to make changes to the timetable and to the teaching staff from the advertised program in the event of illness or other circumstances beyond our control.
Creative Industries Academy Activity fees are reviewed annually and may be increased each year.
Language of Agreement
This agreement is made only in the English language. If there is any conflict in meaning between the English language version of this agreement and any version or translation of this agreement in any other language, the English language version shall prevail.

We may contact you by post, telephone, email, or text. Notification sent to you by post will be deemed received by you within two working days. Any other notification will be deemed received by you within one working day.
It is your responsibility to ensure that we have current contact details for you and all adults authorized to pick up your child. You must also keep us appraised of any changes in the health or other relevant circumstances of you or your child.
We may accept any instructions which are given to us regarding a child from anyone who is nominated as an authorised adult on the Registration Form for that child.
Law & Jurisdiction
Any failure by us to exercise or enforce any right or provision of these Terms and Conditions shall not constitute a waiver of such right or provision.
If any provision of these Terms and Conditions is found by a court of competent jurisdiction to be invalid or unenforceable, the parties nevertheless agree that the court should endeavour to give effect to the parties' intentions as reflected in the provision and that other provisions remain in full force and effect.
Our relationship with you is subject to English law, and you and we irrevocably submit to the exclusive jurisdiction of the courts of England and Wales.
Localised Lockdowns and Pandemics
If Creative Industries Academy (CIA) cannot deliver classes due to force majeure or government directive, we shall implement online classes via video conferencing software as a replacement. No refunds will be offered.
If a child or household member is told to self-isolate by NHS Track and Trace (or equivalent service), this will be classed as missed sessions and as per the below, no refund will be made.
